“We have a high volume of complex documents across multiple practice areas, so it’s important to strike the right balance between helping our people be more productive and reassuring clients that their data is secure,” explains Vanessa Machado Silveira, Partner at Farroco Abreu Advogados. “We need to be able to surface the right data very quickly. If a client calls, there’s no time to ask around to find their documents. We need to be able to find and open the right files in seconds.”

F/A was looking for a cloud solution, which they viewed as more sustainable than onpremises technology and one that would also support remote working.

Many partners at F/A have prior experience using the iManage platform. That familiarity helped make it an obvious choice for the firm to manage its trove of documents.

The solution

The team evaluated other solutions on the market, but it only strengthened their resolve to go with iManage. “We looked at a few other solutions, but iManage has the best structure for managing documents in a law firm, and its search capability is powerful,” recalls Machado Silveira.

The firm partnered with Docwise to set up iManage Work 10 in the Cloud as its central document repository. All client data is securely stored on the platform. Lawyers have a personal folder for their private files, which helps encourage them to save all their documents in iManage.

Machado Silveira says having iManage Cloud infrastructure during the pandemic helped the firm to keep running seamlessly. “Today, in our hybrid work environment, it continues to support us by enabling secure access to our database from anywhere in the world,” she adds. “This flexibility contributes to a healthier work-life balance for our team.”

“Docwise has been an amazing partner to us from the start,” says Machado Silveira. “They understand our firm and our challenges so well that they proactively suggest the most efficient ways of doing things.” For example. Docwise suggested they reorganize and simplify the structure of their data and establish a standard F/A format.

Docwise also supports the firm’s daily use and decisions to better use iManage. (F/A) integrated the iManage platform with the firm’s practice management tool on the partner’s advice. “Integrating other systems with iManage makes life so much easier,” says Machado Silveira. “We don’t have to switch between systems to manage our cases, and we use consistent document structure and naming conventions across client files and time sheets.”

That consistency is especially important when new starters are learning to use the platform. The firm runs regular iManage training sessions with Docwise — both to onboard new hires and to ensure all staff know how to best use its features.
